I have just returned from the ARMA International InfoCon 2024 and while there I had many conversations focused on transitioning from paper records to the electronic matter file. This transition will reduce over time physical storage costs of both onsite and offsite records as well as increase the availability of electronic records for attorneys. Many firms are drawing a line in the sand and not sending any new boxes of paper records offsite. Or, firms are only sending a small number of original documents that are required to be retained in paper offsite in boxes.
Now that the number of boxes stored offsite is slowing, many firms are looking to destroy boxes of records that have met their retention period. I often hear the question, how do I identify how many whole boxes of records can be destroyed? If you use records management software like iManage Records Manager, you already have a powerful tool to identify whole boxes of records. iManage Records Manager has a set of box disposition reports that can be used to identify whole boxes of records that can be destroyed. The iManage Records Manager dashboard can show you quickly how many boxes are eligible for destruction by office or across the whole firm. These numbers are useful for reporting and planning purposes.
If you need help configuring your iManage Records Manager to show you whole boxes ready for destruction or general retention training, please let me know.
